Job Summary:

This position provides administrative, logistical, and programmatic support for the Memphis College of Urban & Theological Studies (MCUTS) academic programs. This position plays a key role in coordinating program operations, supporting faculty and students, and ensuring the efficient and effective implementation of MCUTS’ initiatives in alignment with the institution’s mission and goals. Serving in this role requires a comprehensive knowledge of MCUTS programs as well as skills in working with issues related to policy, procedures, and confidential matters.

Job Responsibilities:

Assist in the admissions and onboarding of new students by:
Coordinating with the Graduate Adults and Admissions Counselor in admitting students into the program;
Advising on student financial aid, collaborating with the Financial Aid Office as necessary;
Conducting initial advising;
Keeping accurate files of applicants and students accepted into the program.
Perform registrarial functions including, but not limited to:
Maintaining the 2-year course rotation;
Setting up class schedules;
Initiating course modifications: add, edit, delete;
Liaise as needed with the Academic Office on the main campus;
Supporting Program Directors in registering students each semester in the appropriate courses;
Updating students’ degree audits;
Running registration reports.
Oversee student services including but not limited to:
Managing books inventory through loaning to students and ordering new sets as needed;
Conduct or coordinate academic coaching and tutoring for students needing support for academic success and retention;
Advise students as needed;
Lead the planning and setup for special events.
Serve as a solution-oriented resource for the College for faculty, staff, students, and the community of interest.
Assist the Dean and Program Directors in preparing documents associated with the development, implementation, or evaluation of MCUTS programs.
Support the administration of grants as needed by Dean and Program Directors.
Assist Dean in coordinating contacts with Advisory Council, including setting up meetings at twice per year.
Coordinate outreach efforts with students, alumni, partners, and other constituents.
Support recruiting efforts in coordination with the Graduate Adults and Admissions Office.
Transcribe minutes of the assigned committees or other related events associated with MCUTS program. May be required to transcribe minutes for other meetings as directed by the Dean. Provide access to the draft of the minutes from the meetings for review.
Assist with special projects and events as needed including planning, communication, and logistical support.
Perform other duties as assigned to support the College’s goals.

Job Requirements:

Graduation from an accredited college or university and three (3) or more years of relevant experience. The successful candidate for this position must be highly organized with strong interpersonal and organizational skills with the ability to handle multiple projects in a dynamic college environment, including the ability to prioritize assignments and effectively manage time with minimum supervision. The successful candidate must demonstrate proficiency in the use of Microsoft Office software applications.
Preferred Qualifications
Preference will be given to applicants with previous experience in administrative or office management, especially in education organizations.
