Supervisor
Primary Supervisor: Executive Assistant (EA) to the Dean of SSTH
Secondary Supervisor: Program Chair/Director of assigned program(s)

Hiring Range: $21.53 - 24.65 per hour

Job Responsibilities:
Faculty Support
● Provide administrative support for:
○ Director of Nursing and Associate Director of Nursing
○ 10 full time faculty and 20+ Clinical Supervisors
○ 3 full time staff
● Assist the EA in the hiring process of full-time faculty/ adjuncts/clinical supervisors for the department, as well as onboarding and orientation requirements.
● Provide support for all travel arrangements for faculty conferences and speaking engagements, including booking air and ground transportation, room reservations, registration, and reimbursements for meals and expenses.
● Assist the Director in scheduling meetings, assist with aspects of the program evaluation plan, and complete tasks as assigned.
● Support faculty with individual course projects.

Academic Support
● Assist the Director in developing class schedules for Nursing and Healthcare Management programs based on previous semesters and communicate with full-time faculty teaching preferences.
● Perform course-related tasks for Department faculty (i.e., textbook adoptions, desk copy requisitions, substitution requests, IDEA class evaluations, facilities and campus coordination requests).
● Review and revise class and program descriptions for annual catalog revisions.
● Provide coordination support for pre-licensure fingerprinting, NCLEX registration, and Kaplan course scheduling and other licensing requirements.
● Supporting the new programs within the department (Healthcare Management, BSN to DNP).

Administrative Support
● Coordinate program/department events, including making room reservations, distributing the agenda and faculty assignments, and order catering and purchase supplies while staying within budget.
● Collecting data/managing reports for accreditation agencies
● Prepare and track all accounting documents such as Purchase Orders, Reimbursement Requests, Journal Entries, Journal Receipts, and Compensation Requisitions.
● Greet visitors, answer the phone, and schedule appointments. Answer questions and connect students, faculty, and visitors to resources.
● Ensure the timely communication of program information to students, faculty, and the broader university community.
● Regularly check office supply and copy machine inventory. Research and assess restock items for the most cost effective option.
● Maintain organized files of coursework/records and the Department’s Google Drive and Google Website.
● Accountable for all committee meeting preparation, including minutes for faculty and committee meetings and maintaining the committee calendar.
● Coordinate addition of each cohort to nursing program applications, update databases with each faculty and student change.
● Coordinating the order of uniforms, community T-shirts, student welcome kits, and Nursing Pins.
● Support and coordinate logistics for CNSA (student-run club).
● In collaboration with the Office of Financial Aid and the Director, distribute the department scholarship application form to accepted students, and submit scholarship requisition forms to the Office of Financial Aid.
● Oversee and maintain distribution records of department keys. Submit requests for faculty and Clinical Supervisor building or room key card access to Campus Safety.
● Obtain documents (i.e., syllabus) from faculty for ADA accessibility and retention.
● Manage Departmental, Clinical Onboarding, and Clinical Supervisor Canvas sites to keep faculty, clinical supervisors, and students informed.
● Other duties as assigned.

Student Support
● Provide academic advising services to address curriculum questions raised by students, faculty, and other departments.
● Supervise and coordinate student committees to plan and execute departmental ceremonies.
● Maintain up-to-date program information to assist students in the registration process.
● Proctor individual and class exams with students as needed by faculty.
● Assist students with class schedules.
● Develop office systems and processes to better serve students and faculty.
● Assist students with room requests for research data collection, group meetings, and conference rooms.

Additional Responsibilities
Admissions Events
● In coordination with the Assistant Director of Nursing Advising and Admissions, plan and execute department info sessions and tours to promote the university and program.
● Attend departmental info lunches with prospective students to inform and sell on our program.
● In coordination with the Associate Director of Nursing, plan and execute Admissions outreach events for 250 local high school students (once a semester).

Clinical Coordinator Support
● Verify, document, and oversee submission of health files required by the Board of Registered Nursing and clinical agencies. Coordinate student and faculty health and background requirements in accordance with HIPAA and FERPA guidelines.
● Plan and lead orientation informational sessions for incoming clinical nursing students every semester.
● Assist the Clinical Affiliations Coordinator with completion of onboarding paperwork for 150 clinical nursing students at over 10 clinical sites.
● Maintaining clinical onboarding canvas site.
● Communicating with students who are delinquent with onboarding requirements. Tracking and collecting late fees.

Job Requirements:
Alignment with Theological Positions: The person who fills this position must be someone who personally agrees with Biola’s Articles of Faith and Statement of Biblical Principles and who is supportive of the positions taken by Biola as contained in its Eschatology Teaching Position. As such, this person may not speak against or act in a manner inconsistent with these positions during the course of their employment at Biola.

Educational Requirements
Bachelor’s degree or two years of college education with 2 years of previous
Administrative experience

Work Requirements
Non-exempt (02), full-time – 40 hours/week, 12 months per year
This position requires personal attendance at Biola’s campus in La Mirada, California
